Privacy and Security Policy

This privacy statement was last revised July 21, 2016.

We at ReadySetAuction believe that customer privacy and data security are essential to our business. You have our assurance that the personal information you provide will be handled with the utmost care. In a nutshell, we will not sell, reveal or share your personal information without your explicit permission, except as necessary to provide our services to you, unless we are required to do so by law.

The purpose of this privacy statement is to clearly explain:

  • What personal information is collected
  • What organization collects the information
  • How the information is used
  • With whom the information may be shared
  • What choices are available to you
  • How you can correct any inaccuracies in the information
  • What types of security procedures are in place to protect the loss, misuse or alteration of information under ReadySetAuction control

Information Collection and Use

ReadySetAuction is the sole owner of the information collected on this site. ReadySetAuction collects information from our users at several different points on our Web site:

Organization and Staff Registration. When you register your organization with the ReadySetAuction Web Site, you provide us with the name and address of your organization as well as your personal name and email address. In so doing, you become your organization’s ReadySetAuction Administrator. In addition, users may individually register themselves in association with your organization if they have been invited to do so by your organization’s ReadySetAuction Administrator. During registration, all users must provide a personal email address and select a User Name and Password. Your email address is used to contact you about the services on our site. Your User Name and Password allow us to authenticate you when logging in to our site. In order to provide a more personalized experience on our site, we ask all users to provide their first and last names.

Staff Invitations. Your ReadySetAuction Administrator may optionally invite one or more individuals to join your organization’s event as staff members. In this case, ReadySetAuction collects the name and email address of each invitee. Only after the ReadySetAuction Administrator chooses to send the invitations, will ReadySetAuction send the staff members an email inviting them to join the event, along with a personal message from the ReadySetAuction Administrator. ReadySetAuction stores this information for the purpose of sending the email invitation. The invitee may contact ReadySetAuction to request the removal of this information from its database. Invitations automatically expire after 72 hours.

Bidder Registration. When you register for a bidder account (enabling you to place bids at any online auction hosted by ReadySetAuction), you provide us with your name, address, phone number and email address (the “Contact Information”). In addition, you will select a personal User Name and Password. The Contact Information will be shared with each organization hosting an auction in which you participate. Participation includes placing a bid for an online auction item, donating an item to be auctioned, donating money or purchasing tickets to a silent/live event auction. Your User Name and Password allow us to authenticate you when logging in to our site.

Bidder Verification. When you register for a bidder account, you may be asked to verify your account by providing a valid credit card. In this case, we will collect your credit card number, expiration date, cardholder’s name, billing address and card security code. This information is used for verification purposes only. The verification process consists of authorizing a small charge against your account. However, your card will not be charged. We do not retain your credit card information after the verification process has been completed.

Billing Information. ReadySetAuction collects information from you when you purchase ReadySetAuction services. We collect your credit card number, expiration date, cardholder’s name, billing address and card security code. This information is used for billing purposes only. By entering this information and clicking the form submission button, you authorize ReadySetAuction to charge your credit card for the amount specified. We do not retain your billing information after the transaction has been completed.

Event Management. In the course of using the ReadySetAuction web site to manage your event, you will have the option to provide additional information about your organization (tax identification number, non-profit status, phone, fax and email address). You will also have the option to provide personal information about the individual contacts (staff members, vendors, prospects, donors, guests) associated with your organization. Personal information you provide for each individual may include that individual’s name, address, phone, fax and email. In the case of donors and guests, ReadySetAuction also collects data on the value of each donor’s donation(s) and the price(s) at which a guest purchases the item(s). This information is collected in order to provide your organization with auction reports and to generate receipts and thank you notes for your donors and guests. The use of all optionally provided information is under the control of the user(s) who provided it. By “control,” we mean that the users themselves determine how this information is used by deciding which features of the ReadySetAuction service to use. ReadySetAuction will not use this information for any purpose other than to fulfill the functionality and features requested by the user or to provide customer service to the user.

JumpStart. To reserve an auction consignment package by way of the JumpStart Directory, you must enter your name, organization name, email address and phone number. ReadySetAuction will forward this information to one of our JumpStart package vendors. A representative of the package vendor will contact you.

Merchant Account. If you elect to open a merchant account through one of ReadySetAuction’s partners, ReadySetAuction may collect certain personal and financial information from you including your organization’s name, DBA name (if different), phone and fax numbers, physical mailing address, email address, and a contact person’s name. By entering this information and clicking the Submit Application button, you authorize ReadySetAuction to share this information with its merchant account partners and to initiate the application process for a merchant account on behalf of your organization. ReadySetAuction does not guarantee that your organization will be approved for a merchant account. You are not obligated to continue the application process after submitting this information.

Payment Processing. If you elect to open a merchant account through one of ReadySetAuction’s partners, you will have the ability to perform real-time credit card processing during your event. In this case, your merchant account provider will collect the credit card number, expiration date, cardholder’s name, and billing address information for each guest who opts to pay for purchases electronically. This information is used for billing purposes only. By entering this information and clicking the Process Payment button, you authorize ReadySetAuction to initiate a charge against your guest’s credit card account for the amount specified.

Who Has Access to the Information

The organization and user information you provide is available only to the following parties:

  • Your organization’s ReadySetAuction Administrator (initially, the user who registered your organization although this role can be reassigned from time to time)
  • Your organization’s other users who have been invited and granted access to your information by your organization’s ReadySetAuction Administrator
  • Employees of ReadySetAuction who need the information to perform a specific job (for example, our customer service representatives)
  • Business partners of ReadySetAuction who need the information to offer a specific requested service (for example, merchant account providers)
  • Business partners of ReadySetAuction who need the information to provide ReadySetAuction with various analytics and customer support services (for example, customer support and help desk service providers).

Other ReadySetAuction visitors and users (for example, those associated with other organizations) do not have access to your organization and user information.

Employees of ReadySetAuction who need information to perform a specific job (for example, our customer service representatives) are granted temporary access to organization and user information.

Business partners of ReadySetAuction who need information to offer a specific requested service (for example, merchant account providers), are granted access only to the specific information necessary to provide the requested service.

Use of Intercom Services: We use third-party analytics services to help understand your usage of our services. In particular, we provide a limited amount of your information (such as your email address and sign-up date) to Intercom, Inc. (“Intercom”) and utilize Intercom to collect data for analytics purposes when you visit our website or use our product. Intercom analyzes your use of our website and/or product and tracks our relationship so that we can improve our service to you. We may also use Intercom as a medium for communications, either through email, or through messages within our product(s). As part of our service agreements, Intercom collects publicly available contact and social information related to you, such as your email address, gender, company, job title, photos, website URLs, social network handles and physical addresses, to enhance your user experience. For more information on the privacy practices of Intercom, please read the Intercom Privacy Policy. Intercom’s services are governed by the Intercom Terms of Service.

Sharing with Third Parties

Except as stated above, data about your organization, event and contacts is never shared with third parties. Only those users who have been invited by your organization’s ReadySetAuction Administrator may access your organization’s information. The ReadySetAuction Administrator can also control which users can view and/or modify which parts of your organization’s event site.

Business Transition Disclaimer. Upon the sale or transfer of the company and/or all or part of its assets, your personal information may be among the items sold or transferred. We will request a purchaser to treat our data under the privacy statement in place at the time of its collection.

Legal Disclaimer. Although we make every effort to preserve user privacy, we may need to disclose personal information when required by law wherein we have a good-faith belief that such action is necessary to comply with a current judicial proceeding, a court order or legal process. For example, we will cooperate with the appropriate legal authorities when presented with a subpoena or other government order.

Updating Personal Information

If your personally identifiable information changes (such as your zip code), or if you no longer desire our service, we provide you with a way to correct, update or remove your personal data provided to us.

Links to Other Sites

This Web site contains links to other sites. Please be aware that we are not responsible for the privacy practices of such other sites. We encourage our users to be aware when they leave our site and to read the privacy statements of each and every Web site that collects personally identifiable information. This privacy statement applies solely to information collected by this Web site.

Surveys & Contests

From time-to-time our site may request information from users through surveys or contests. Participation in these surveys or contests is completely voluntary and the user therefore has a choice whether or not to disclose this information. Information requested may include contact information (such as name and address), and demographic information (such as zip code or age). Contact information will be used to notify the winners and award prizes. Survey information will be used for purposes of monitoring or improving the use and satisfaction of this site.


Our users are given the opportunity to opt-out of having their information used for purposes not directly related to our site at the point where we ask for the information.

Users of our site are always notified when their information is being collected by any outside parties. We do this so our users can make an informed choice as to whether they should proceed with services that require an outside party, or not.

Notification of Changes

If we decide to change our privacy policy, we will prominently post those changes so our users are always aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it. If at any point we decide to use personally identifiable information in a manner different from that stated at the time it was collected, we will notify users by way of an email. Users will have a choice as to whether or not we use their information in this different manner. We will use information in accordance with the privacy policy under which the information was collected.

Site Security

This Web site takes every precaution to protect our users’ information. When you submit information through the Web site, your information is protected both online and offline.

SSL Support. Access to certain portions of our site is protected by the Secure Sockets Layer (SSL) protocol which is the industry standard for secure data transfer software. Its proven protection is among the best software available today for secure online commerce transactions. SSL encrypts your personal information as it travels across the Internet. SSL is used by most Web sites, including online banking sites and other consumer retail sites to protect your information. In addition, our security includes 2-way data encryption that incorporates digital certificate technology. We support both 40- and 128-bit encryption technologies.

When you are accessing a SSL-secured area of our site, the URL (web address) in your browser’s address bar will begin with the text “https://” rather than “http://” (note the addition of the letter “s” for “secure”.) Also, your browser will display a closed padlock icon in some part of the browser window. (Exactly where this is displayed is dependent on the particular browser you are using.)

Only certain sensitive areas of the site are protected by SSL technology. These areas include any page in which you provide payment information or other information of an especially sensitive nature.

Please note that in order to access secure areas of the site, your Internet browser must be SSL-capable.

Cookies. A cookie is created when a ReadySetAuction user is authenticated after logging in. A cookie is a piece of data stored on the user’s hard drive containing a code which identifies the user to us. As an example, the cookie is used to allow your organization’s users to access your event information, and prevent others from accessing this same information.

In order to use ReadySetAuction, cookies are required. However, only an authentication code is stored in the cookie. No personal information is stored.

Upon logging in, users are given the “Save Password” option of making their cookie persistent so that they will not be logged out when the browser is closed. This allows users to log in only once from computers which are in private locations.

Log Files. Each time a user views a ReadySetAuction page, log entries are made. Each log entry includes the exiting URL, referring URL, date/time, user IP address and browser type. Individual usage histories can be reconstructed from the logs. Log entries can also be linked to personally identifiable information. Logs are used to maintain optimal site performance and security, and improve the functionality of the service.

Offline Security. We do everything in our power to protect user information offline. Only employees who need the information to perform a specific job (for example, our customer service representatives) are granted temporary access to personally identifiable information. All employees are kept up-to-date on our security and privacy practices. Finally, the servers on which we store personally identifiable information are kept in a secure environment, restricted to authorized personnel, and monitored 24×7 through closed-circuit cameras. Public access to our servers is strictly forbidden.
